Answers from todays meeting - 14th October

Heres the answers I collected from Peter:

1) There should be a separate interface for staffing and booking for use on site - not incorporated into the website. It should act as a front desk system for bookings etc just like the website. However, manual entry of discounts must be supported.
2) This software must be able to check the status of people who have booked eg if people are late, make provisions for charging them.
3) There are 2 computers at present:
1 in the Managers Office
1 at reception
4) If the hardware fails we are not liable. The old paper system can be used then the system updated.
5) A backup system is needed for current and coming bookings. Past information is not so relevant.
6) Booking system has to be secure.
Internal - restricted staff access
External - Safe from hackers
7) An audit trial should be implemented to see who changed what and what discounts were given.
Cool Bookings should be able to be taken up to a year in advance
9) Interface for the on site system must implement basic accessibility components for eg poor vision. Website should consider screen readers.
10) We are liable for maintenance for the first year.
11) The web end should look sophisticated and sleek but be easy and intuitive to use. Staff training can be provided for the on site software which should be bright and cheerful since staff interface with it a lot.
12) The website should be primarily functional for IE7 but should not implement anything which does not work in IE6.
13) There is a network on site. There may be concurrent access to the system.
14) Users are:
Customers on the web
Reception staff for checking in and out
Manager and supervisors for staffing issues
In the bar staff should also be able to add the price of drinks onto the bill. (Doesn't this insinuate an interface in the bar at the till? O.o)
15) The manager should have the ability to set staff access control levels or modify any data such as discounts etc.
16) Data regarding occupancy and timetables should be able to be exported to excel.
17) A report should be able to be generated regarding occupancy for the cleaners regarding changeovers.
18) Promotional material should be added to the bottom of the customer bill
19) There are:
10 chambermaids
1 Chef
2 Cooks
8 bar/waiting staff
Manager
3 Supervisors
20) Information regarding wages and room numbers should be easily update-able by the manager.

Looks like we just have to get on with the URD and hope all is suitable!!

Do you know if Steven managed to get a copy of the project spec sheet?
